The Role
- You will be the daily guardian of our commercial and financial data across HubSpot CRM and Bilbo (our internal management and billing system), while owning the entire Quote-to-Cash chain and building the automations that make it scale.
- This is a hands-on, execution-first role. Every single day, you will be in the data: auditing, correcting, reconciling, and enforcing quality standards.
- You will maintain the tool to stabilize it and develop new features.
What You'll Do
1. Daily Data Stewardship — HubSpot & Bilbo (50%)
This is your #1 job. Every day, the data is clean because you made it clean.
- Morning routine: review new and updated deals in HubSpot. Check that every field is complete, accurate, and consistent — pricing, entity, currency, deal stage, close date, owner, price codes. When an AE moves a deal backward in the pipeline and silently corrupts the close date, you catch it within hours, not weeks.
- Bilbo synchronization: ensure that every deal recorded in HubSpot is correctly reflected in Bilbo (products, quantities, pricing, billing schedule, legal entity). Hunt and fix discrepancies the same day.
- Proactive data audits: run weekly checks on the full pipeline. Flag and correct stale deals, orphan records, mismatched statuses, duplicate contacts, incorrect company hierarchies. Use the automated data quality dashboard to triage issues by severity and owner.
- Enforce data entry standards: you are the person who sends the Slack message saying "this deal is missing the entity field, please fix before EOD." You do it every time, without exception.
- Maintain product catalogs and price lists: keep pricing synchronized between HubSpot and Bilbo. When a new price code is created or a rate changes, you update both systems and verify the mapping.
- Structure deals correctly the first time: verify pricing, terms, entities, currencies, and discount approvals before anything gets signed.
2. Month-End Reporting (30%)
You own the chain from quote to invoice. Nothing falls through.
- Monthly reconciliation: deals signed vs. invoices generated vs. revenue recognized.
- You will support manager to produce the reconciliation and customer report.
- Ensure every deal signed before cut-off is invoiced in the right period. Deliver bookings vs. billings reconciliation to Finance with zero surprises.
- Follow Professional service completion and calculate revenue for billing.
- Be a binome for customer invoicing process in Axonaut.
3. Automation, AI & Scalable Systems (20%)
You do the work first. Then you use AI and code to make sure you never have to do it manually again.
- Prototype with AI tools: you're comfortable prompting and coding with or without AI support — Claude, Cursor, or ChatGPT — to generate a Python script, a Zapier flow, or a HubSpot workflow that solves a real problem. You iterate fast, test, ship, and improve. (We sometimes call this vibe coding — building useful things through AI-assisted prototyping rather than traditional software engineering.)
- Build validation rules and automated checks: mandatory fields, conditional logic, approval gates. A deal without an entity = blocked. A price code mismatch = alert triggered. Your goal: make errors structurally impossible, not just manually caught.
- Create real-time dashboards: Q2C cycle time, data quality scores, SLA compliance, invoice aging — visible to Sales, Finance, and leadership.
- Turn data into intelligence: "deals with X characteristics take 3x longer to close" or "this pricing structure generates 40% more billing errors." You analyze patterns, surface insights, and feed them back to the teams that need them.
- Document everything in Notion: playbooks, SOPs, FAQ, decision trees. Your documentation is so thorough that a new hire could run the Q2C process from your wiki in week one.
Who You Are
Must-Haves
- 2–5 years of experience in Sales Ops, Deal Desk, RevOps, Finance Operations, or Revenue Accounting — with at least one full cycle of quote → order → invoice in a B2B or SaaS environment.
- Hands-on and proud of it. You don't manage processes from a distance. You are in the CRM every day, in the billing system every day, checking records, fixing errors, sending follow-ups. You get energy from making the data perfect — not from delegating it.
- Obsessive data quality mindset. You notice that a deal has two different prices in HubSpot and Bilbo. You notice that a contact is linked to the wrong company. You notice that a deal was moved to "Closed Won" without a signed contract. And you fix it immediately.
- CRM proficiency (HubSpot or Salesforce): you build reports, identify anomalies, configure workflows, enforce field-level governance.
- You like to code, improve tools and make automation the new rule.
- A genuine service orientation. Your internal clients (Sales, Finance, Legal, CS) depend on you every day, and you take pride in being the person they can count on. When someone pings you with a question, your instinct is to help — quickly, cheerfully, and thoroughly.
- Ownership and responsiveness. When Sales or Finance needs an answer, they get it the same day — not "I'll look into it next week." You own your availability like you own your data.
- Fluent French–English (SeqOne operates in both): meetings, documentation, and stakeholder communication in both languages.
Your Stack
You'll work daily in HubSpot (CRM) and Bilbo (internal billing & management), with Notion for documentation, Slack for coordination, Excel/Sheets and SQL for analysis, and AI tools (Claude, Cursor, ChatGPT, Zapier) for automation. You don't need to know every tool on day one — but within your first month, you should be autonomous in both HubSpot and Bilbo. Within your first quarter, you should have shipped your first AI-assisted automation.
This Is You / This Is Not You
You’re energized by clean data and reliable processes. You fix errors immediately, build rules to prevent them from happening again, and take pride in being the person your teammates can count on — every day, without chasing. You help because you like helping, you escalate early, and you’re genuinely curious about what AI can do.
This role is not for you if you think data quality is someone else’s problem, if “close enough” feels acceptable, or if automation is something to worry about later.
